Standard charges, added in one tap

Save the charges you raise every week — a call-out fee, an out-of-hours uplift, waste disposal, a skip — each with its price, its VAT rate and whether it counts as labour or materials. Start from a suggested list for your trade, put your own prices against the ones you want, and add them to a quote or invoice in a tap. Dispatch never suggests a price, because it does not know what your work is worth.

What a late commercial invoice is really worth

Between businesses you are entitled to 8% over base rate plus £40 to £100 in fixed compensation — and the rate is the one that applied when the debt fell late, not today’s. Dispatch works it out and the final reminder can name the figure. Shown, never charged, and never on a domestic invoice.

Retention and stage payments

Split an invoice into parts, each payable from its own date — a rewire billed in stages, or the 5% a main contractor holds back until practical completion and the end of the defects period. The invoice keeps its full value, because retention is money held back, not a discount. Dispatch will not chase a part before its date arrives.

Get paid by card

Customers can pay their invoice by card online from a secure link. No chasing a bank transfer. Take part payments and deposits, and record any payment, by card or otherwise, against the invoice as it comes in.

Quotes your customer can accept online

Price a job up on the doorstep, send it as a branded PDF, and the customer accepts or declines from a link. No phone tag. Ask for a deposit as a percentage of the quote, and accepting raises the deposit invoice for you, ready to pay by card.

Week calendar & scheduling

Book visits onto a week calendar and see at a glance who is where. Each card carries the job reference, the time, and the town and postcode. Clashes warn rather than block (a ten-minute call between two jobs is normal working) and the customer gets a confirmation when you book, move or cancel.

Jobs in your own calendar

Engineers can see their Dispatch jobs in Google Calendar, Apple Calendar or Outlook: by subscribing to a private feed link, or by getting an email invite for each job. Only the job number and the site postcode travel that far, so customer details never leave Dispatch. Off until an engineer turns it on, and switchable off for the whole business.

Automatic payment reminders

Switch reminders on and an unpaid invoice chases itself: three emails at 3, 10 and 21 days past due, in your name, then it stops and leaves you to it. Off by default, off per invoice whenever you want, and never sent for an invoice you haven't emailed.

Digital records for Making Tax Digital

Photograph a receipt on site and record what it cost. Dispatch keeps your income and expenses as digital records and exports them via a digital link into your own Making Tax Digital software; it never files anything with HMRC, and what you submit stays yours to check.

Does Dispatch work without an internet connection?

Dispatch is an online application by design, in the browser and in the Android app. There's no offline mode. Your team and customers need an internet connection to submit fault reports, view jobs or use the map, which keeps every report, photo and job update in sync across your business in real time.

Is Dispatch built for a specific trade?

Can I invoice customers and get paid online?

Yes. Raise an invoice from the job, send it as a branded PDF by email, and your customer can pay by card securely online, right from the invoice. Is there a scheduling calendar?

Yes. Book visits onto a week calendar, see who is booked in where, and let the customer know automatically when a visit is booked, moved or cancelled. It sits alongside the list, board and map views. Engineers can also see their own jobs in Google Calendar, Apple Calendar or Outlook: a one-way view they switch on themselves, showing only the job number and site postcode.

Can I send quotes as well as invoices?

Yes. Price a job up, send the quote as a branded PDF, and the customer accepts or declines it from a link; you see the answer in Dispatch. You can ask for a deposit as a percentage of the quote; when the customer accepts, Dispatch raises the deposit invoice so they can pay it by card straight away, and drafts the final invoice ready for when the work is done.
